The data collection feature in Microsoft Sustainability Manager helps organizations streamline and track their sustainability progress and ensure compliance reporting. It enables organizations to break down data silos by unifying ESG data from various sources.
Data owners are organizational users, such as facility managers, HR managers, and business admins, who have access to ESG data related to their local facilities or organizational units. They play a key role in submitting accurate and timely ESG data. The data collection feature enables data owners to submit ESG data directly into the Microsoft Sustainability Manager data model.
By using the data collection feature, you can:
- Set up and manage the contact details of data owners.
- Send data collection requests to gather ESG data for specific reporting periods.
- Use data collection plans to send requests to multiple data owners at once and track their statuses.
- Send email reminders to data owners to complete data requests.
- Let data owners add comments and upload evidence documents when responding to data requests.
- Take responses through a multilevel approval process to ensure data accuracy.

Prerequisites for using Data collection
Before using the data collection feature, ensure the following prerequisites are met:
You have an active Microsoft 365 license to send email notifications.
Configure settings to allow sending emails
Sign in to Microsoft Sustainability Manager as an admin and select Settings.
Select Personalization settings.
In the dialog box, go to Email options. Select the checkbox Allow other Microsoft Dynamics 365 users to send email on your behalf.
Select OK.
Test and enable mailbox to send email notifications
Sign in to Microsoft Sustainability Manager as an Exchange Administrator or Office 365 Global Administrator.
Select Settings > Advanced settings.
Select Email Configuration in the left navigation and select Mailboxes.
Select Active Mailboxes from the dropdown.
Search for the user for whom you want to enable the mailbox. Select the mailbox and select Approve Email. After approval, select the mailbox and select Test Configuration and Enable Mailboxes.
After the test runs successfully, the Incoming Email Status and Outgoing Email Status show as Success.
