Hi I was wondering if it is possible to extract a meeting transcript from a video after it has been recorded in Microsoft teams? All assistance is gratefully appreciated and will hopefully make this writer very happy. Or not...;)

    Hello @Trevor Howis

Good day! I hope you're doing well.

You can extract the meeting transcript after the meeting if transcription was enabled during the meeting:

    • Go to Microsoft Teams > Calendar
    • Click on the meeting you're looking for.
    • Select View recap and open the Transcript tab.

    • Choose Download transcript (typically available as .docx or .vtt, depending on tenant settings)

Note: Only the meeting organizer, co‑organizers, and in some cases presenters are able to download the transcript.

If transcription was not started during the meeting, Teams cannot retroactively generate a transcript from the recording. In this scenario, the spoken content is not stored for later extraction.

    Possible alternatives include:

    • Reprocessing the recording using a third‑party transcription tool
    • Uploading the recording to Microsoft Stream (on SharePoint) and attempting to use any available captioning or transcription features (availability and results may vary by tenant)

Please let me know which scenario applies in your case, and I’ll be happy to assist further if needed.

Yes, a transcript can be accessed and downloaded after a Microsoft Teams meeting or call has been recorded and transcription was turned on.

    For standard Teams meetings:

    1. Open Teams and select Chat.
    2. Open the chat for the past meeting.
    3. Select Recap.
    4. In Recap, use the Download dropdown next to the transcript and choose .docx or .vtt to download it.

    Who can download:

    • By default, the meeting organizer and co-organizers can download the transcript.
    • Others in the same organization can view the transcript after the meeting but cannot download it unless the organizer’s policies/Stream settings allow it.

For Teams calls (1:1 or group calls) where transcription was enabled:

    1. Open Chat in Teams.
    2. Open the chat for that call.
    3. The transcript appears along with the recording link.
    4. Download the transcript as a .docx or .vtt file from there.

On mobile (after the meeting ends):

    1. Tap Chat.
    2. Open the past meeting chat.
    3. Find the Meeting ended message and tap Transcript to view it. (Downloading is typically done from desktop.)

If the meeting was a town hall:

    1. Go to Calendar in Teams.
    2. Open the past town hall and select Edit.
    3. Go to Recordings.
    4. Select Download transcripts to get them in .docx and .vtt formats.

Note: A transcript is only available if transcription was turned on during the meeting/call. Transcripts are stored in the organizer’s OneDrive for Business and are accessible via the meeting chat and Recap tab until the organizer deletes them.
