To display a document in a Microsoft Teams meeting, use the Share options in the meeting controls.

For a standard file (Word, PDF, PowerPoint, etc.):

    1. Join or start the meeting.
    2. On the meeting toolbar, select Share content.
    3. Choose how to present:
      • Desktop: Shows the entire screen so participants see anything opened, including the document.
      • Window: Shares only the specific app window (for example, Word or your PDF viewer) with the document.
      • PowerPoint: If sharing a PowerPoint file, select it under PowerPoint so participants can move through slides on their own if allowed.
    4. When finished, select Stop presenting.

To show a physical document (paper, book, worksheet) using a camera:

    1. Join or start the meeting in the Teams desktop app.
    2. On the meeting toolbar, select Share / Share content.
    3. Select Content from camera > Document.
    4. Position a USB-connected document camera (or supported camera) above the document using the preview to align it. Teams will detect and focus on the document.
    5. Select Share so everyone sees a clear, focused view of the document.

To share a whiteboard instead of a document:

    1. In the meeting, select Share content.
    2. Choose Whiteboard to open a collaborative canvas, or Content from camera > Whiteboard to show a physical whiteboard via your camera.
    3. When done, select Stop presenting.
